Registration Windows
Registration for a term can open on different days for different groups of students: seniors first, then honors students, then everyone else. Each group's start date is a registration window.
A term with no windows works as it always has. Everyone may register from the term's Registration Opens date, and a term with no open date is not restricted.
How a student's day is decided
- The term's Registration Opens date is the floor. No window can open before it.
- Each window has an opening date and a rule saying who it is for.
- A student may start on the earliest window whose rule they match.
- One window per term may have no rule. It is the window for everyone else.
Add a window for everyone else whenever a term has windows. Without one, a student who matches no group waits for the last window to open, and the screen warns you about it.
Windows only open registration. The term's add deadline still closes it, and dropping a course still follows the drop and withdrawal deadlines (see Drops and Withdrawals).
Setting up windows
You need the ACADEMIC.REGISTRATION_WINDOWS permission (granted to the registrar by default). It is separate from editing term dates, so a role can be allowed one without the other.
- Go to Academic > Terms and expand the term.
- In Registration windows, click Add window.
- Give the window a name and an opening date.
- Either tick This window is for everyone else (no rule), or build the rule under Students this window is for.
- Use Count matching students to see how many current students the rule selects before you save.
A rule can test these student facts:
| Field | Notes |
|---|---|
| Campus | |
| Major | Any of the student's majors |
| Minor | Any of the student's minors |
| Cohort | Any cohort the student belongs to |
| Student list | Any list the student is on |
| Academic level | UG, GR, ... |
| Class standing | FR, SO, JR, SR, ... |
| Academic status | The student's latest academic status |
| Cumulative GPA | At the student's academic level, e.g. at least 3.5 |
Conditions combine with and, or and not. These are the same rules the billing selectors use.
The list shows, for each window, how many current students it decides. A student is counted under the window that opens first for them. "Current" means enrolled in a term that ended within the last year or has not ended.
Under When does a student start?, search for a student to see the day their registration opens, which window decided it, and the facts it was decided on (level, standing, GPA, status, majors, minors, cohorts, campus).
Rules the screen enforces
- A window cannot open before the term's Registration Opens date. The term's open date in turn cannot be moved after its earliest window.
- A term has at most one window for everyone else.
- The window for everyone else cannot be deleted while group windows remain. Delete the group windows first.
What students see
A student whose window has not opened can still plan courses. The degree audit's Planned Courses panel shows Registration opens with their date, and the staff Course Registration screen shows when the selected student's registration opens and which window it is.
Until that day, the student cannot:
- submit planned courses as a registration request,
- add a course to a registration request (the cart shows REGISTRATION_CLOSED),
- be registered directly, or
- join a waitlist.
Letting a student in early
A registrar lets a student register before their window with the deadline override:
- Registration requests: open it under Registration > All Transactions, choose Override, tick Override registration deadline and give a reason.
- Direct registration and waitlists: anyone holding
REGISTRATION.OVERRIDE.DEADLINEis not held to the window.
A window never closes again once open, so it is checked when a request is submitted, not again at approval.
