Registration Approvals

When an advisee submits their planned courses for registration, the request comes to you. Registration Approvals in the sidebar lists the requests waiting for your decision.

Which requests you see

Only requests from students you are primary advisor for appear in your queue. A student's other advisors can view the request but not decide it. When a student has no primary advisor, the registrar decides.

The list shows the student, the courses, who started the request, and when it was submitted.

Reviewing a request

Open a request to see each course, its title, section and status.

Use the Notes panel to ask the student a question or record your advice. The student and the registrar read the same thread, and anyone can reply at any step. Notes are permanent: once added, a note cannot be edited or deleted.

Approving

Click Approve, then confirm. Every course in the request is registered together.

  • If any one course cannot be registered (typically a section that filled after the student submitted), none are. The request goes back to the student with the reason.
  • If the student has a hold that blocks completion, your approval is recorded and registration finishes automatically when the hold is cleared. You do not need to approve again.

Rejecting

Click Reject and give a reason. The reason is required, the student sees it, and it is also kept as a note. The request returns to the student, who keeps their reserved seats while they fix the problem and resubmit.

Credit overloads

A request marked Overload would take the student past the normal credit load for the term. It shows Credit overload: N credits this term and the student's reason.

An overload needs your approval and then the registrar's:

  1. You approve. The toast says Overload approved by advisor, and the request stays in the queue marked Approved by the advisor ... the registrar decides.
  2. The registrar approves, and the courses are registered.

The registrar cannot approve an overload before you do. See Credit Load and Overloads.

Drop and withdrawal requests

If your institution requires it, an advisee's own drop or withdrawal waits for you as a one-course request with a DROP item. Approving carries it out. Whether it is a drop or a withdrawal (a W) is judged by the day the student asked, not the day you approve. The student's reason, if they gave one, is the first note.

When one of your advisees' courses comes off their schedule or plan for any reason, you receive an email listing what changed and their remaining schedule.
