Registrar

The Registrar module provides tools for managing the student registration lifecycle, academic holds, graduation clearance, transfer credit evaluation, and academic records. As a registrar, you are responsible for ensuring that students can enroll in courses, that registration policies are enforced, and that degrees are properly awarded.

Your Role

As a registrar, your primary responsibilities include:

  • Registration oversight -- Processing student registration transactions, applying overrides when students do not meet prerequisites or have policy conflicts, and managing workflow steps.
  • Hold management -- Placing academic, financial, and administrative holds on student accounts that can block registration, and releasing holds when issues are resolved.
  • Graduation clearance -- Reviewing graduation applications submitted by students, verifying degree completion, and batch-confirming graduates for commencement.
  • Transfer credit evaluation -- Reviewing credits from other institutions, mapping external courses to internal equivalents, and approving or rejecting transfer requests.
  • Academic record maintenance -- Viewing and printing student transcripts, monitoring GPA calculations, and maintaining the integrity of academic records.
  • Records Office requests -- Deciding the student requests that replaced the Records Office's paper forms, from Requests > My Approvals.

Getting Started

  1. Check pending transactions -- Start your day by reviewing the Registration Transactions page, filtering by "Submitted" status to see transactions awaiting your review. Requests waiting for your decision (including credit overloads the advisor has already approved, and requests from students with no primary advisor) are also in Registration Approvals; see Registration Approvals for how a decision works.
  2. Review holds -- Visit Holds Management to check for holds that need attention or have expired.
  3. Process graduation applications -- During graduation periods, use Graduation Clearance to review and approve pending applications.
  4. Evaluate transfer credits -- Check the Transfer Credits page for pending evaluations from new or transferring students.
