Registration Management

The registration management tools allow you to manage student course enrollments, process registrations on behalf of students, and handle enrollment changes such as adds, drops, and overrides.

Course Registration

The Course Registration interface lets you register students for courses. As a registrar or administrator, you have access to override capabilities that students and advisors do not.

Searching for a Student

  1. On the Course Registration page, type at least 2 characters into the student search field.
  2. Results appear showing student name and student number.
  3. Select a student from the list.

Selecting a Term

Once a student is selected, the system loads terms that are currently open for registration. If only one term is available, it is selected automatically. Otherwise, choose the appropriate term from the dropdown.

If the term has registration windows and the student's has not opened yet, a message says the date their registration opens and which window decides it. A registrar holding REGISTRATION.OVERRIDE.DEADLINE can still register the student directly.

Viewing Current Enrollments

After selecting a student and term, the student's current enrollments for that term are displayed. This shows:

  • Course code and section
  • Course title
  • Credits
  • Enrollment status

Registering for a Course (Registrar Override)

As a registrar, you can perform direct registration with override capability:

  1. Browse available sections for the selected term. Use the filter field to narrow results by course code or title.
  2. Click a section to open the registration dialog.
  3. Optionally check Audit (no credit) or Pass/Fail grading.
  4. If the section lets students choose their credits, set Credits (between the section's minimum and maximum, in its increments). The choice is recorded on the enrollment and used for billing, GPA and the degree audit.
  5. If prerequisites are not met, you will see the details. Check Override prerequisites to register the student anyway.
  6. If the student may not take the course again (already passed, in progress, or out of attempts), check Override repeat restriction. This needs REGISTRATION.OVERRIDE.DUPLICATE; see Repeats and Retakes.
  7. Click Register to complete the enrollment.

Direct registration does not check the credit limits. A credit overload is decided on a registration request instead (see Credit Load and Overloads).

Cart-Based Registration (Students and Advisors)

Students and advisors use a cart-based workflow instead of direct registration:

  1. Browse available sections and click Add to Cart.
  2. Review items in the cart.
  3. Click Validate to check all cart items against registration rules.
  4. If validation passes, click Submit to create a registration transaction.
  5. The transaction then follows the configured workflow steps.

Dropping a Course

  1. In the student's current enrollments list, click Drop / Withdraw next to the enrollment.
  2. The dialog says, from the term's deadlines, what this will be:
    • on or before the drop deadline, a drop: the course leaves the transcript (it stays in the enrollment history);
    • after it, up to the withdrawal deadline, a withdrawal: a W on the transcript.
  3. Optionally enter a reason, and confirm.

A drop you make applies at once, even when the institution requires advisor approval for a student's own drops. The student and their advisors are emailed, and the seat is offered to the section's waitlist.

After the withdrawal deadline the dialog does not offer a drop. Put the drop through a registration request instead, and apply Override > Override registration deadline with a reason. See Drops and Withdrawals.

Available Section Information

Each available section displays:

FieldDescription
Course CodeThe course identifier (e.g., ENGL 101)
SectionThe section number
TitleThe course title
CreditsNumber of credit hours
InstructorAssigned instructor name
ScheduleMeeting days and times
SeatsAvailable seats remaining vs. total capacity
CampusThe campus where the section is offered

Override Types

When registering students, you may encounter situations requiring an override. The override options are:

OverrideWhen Needed
PrerequisiteStudent has not completed required prerequisite courses, or not with the minimum grade
Registration DeadlineThe term's registration period has ended or not begun, the student's registration window has not opened, or a drop is past the withdrawal deadline
Credit Limit (Overload)Student would exceed the normal credit load for the term
Campus RestrictionStudent is registering for a section at a different campus
Course SequencingA lower-division sequencing deadline has passed
Course RepeatCourse already passed or in progress, or out of attempts (needs REGISTRATION.OVERRIDE.DUPLICATE)

Corequisites are reported as warnings and never need an override.
