Viewing Student Data

Once you have accepted a proxy invitation and logged in, you can view the student's records through the proxy dashboard. All data is read-only -- you cannot make changes to the student's account.

Proxy Dashboard

After logging in, you arrive at the proxy dashboard. This page shows a card for each student who has granted you access.

Each student card displays:

  • Student name and student number.
  • Relationship type (e.g., Parent, Guardian).
  • Your access -- Tags showing which data categories you can view: Academic (blue) and/or Financial (green).
  • Expiration date -- When your access expires.
  • Quick action buttons:
    • Grades -- Jump directly to the student's grades (if you have academic access).
    • Billing -- Jump directly to the student's billing (if you have financial access).
    • View All -- Open the full student data view with all available tabs.

If you do not have access to any students, a message is displayed explaining that a student must grant you access through their account.

Student Data View

Click View All on a student card (or navigate from the dashboard) to open the full student data view. The page shows the student's name, student number, your relationship type, and your access type tags.

Data is organized into tabs. Only tabs for which you have been granted access are visible.

Grades Tab (Academic Access)

The grades tab shows the student's academic performance.

Cumulative GPA

A summary card at the top shows the student's cumulative GPA.

Grades by Term

Grades are grouped by academic term. For each term, a table shows:

ColumnDescription
Course CodeThe course identifier (e.g., ENGL 101)
Course TitleThe name of the course
CreditsNumber of credit hours
GradeThe letter grade received, styled by grade level

Grade colors follow a standard scheme:

  • A range: green
  • B range: blue
  • C range: yellow
  • D range: orange
  • F: red

If no grades are available yet (e.g., the student is in their first term), a message indicates that no grade data is available.

Holds Tab (Academic Access)

The holds tab shows any active holds on the student's account.

If the student has no holds, a green success message is displayed: "No active holds."

If holds exist, a table shows:

ColumnDescription
TypeThe type of hold (e.g., Academic, Financial)
DescriptionA description of why the hold was placed
SeverityCritical, High, Medium, or other levels, shown as a colored tag
Effective DateWhen the hold took effect
Release DateWhen the hold is expected to be released

INFO

As a proxy, you can see that holds exist and their type, but you cannot clear or modify them. If you have questions about a hold, contact the appropriate office at the institution.

Billing Tab (Financial Access)

The billing tab shows the student's financial information.

Current Balance

A summary card shows the student's current account balance. A positive balance (amount owed) is displayed in red.

Recent Transactions

A table of billing transactions shows:

ColumnDescription
DateThe transaction date
DescriptionA description of the charge or payment
TypeThe transaction type (e.g., Payment, Charge), shown as a colored tag
AmountThe transaction amount. Payments (negative amounts) are shown in green.

If no billing transactions exist, a message indicates that no billing data is available.

If you have proxy access for multiple students, use the back arrow at the top of the student data view to return to the dashboard, then select a different student.

Access Limitations

As a proxy user, you should be aware of the following limitations:

  • Read-only -- You cannot modify any data, register for courses, make payments, or take any action on the student's behalf.
  • Scoped access -- You only see the data categories that the student has authorized. If you have academic access but not financial access, the billing tab will not appear.
  • Expiration -- Your access may expire on the date set by the student. After expiration, the student card will no longer appear on your dashboard.
  • Revocable -- The student can revoke your access at any time from their account. If access is revoked, you will no longer see that student on your dashboard.
