Grade Roster

View the students enrolled in a section you teach, enter their grades, and print or export the roster.

Accessing the roster

Navigate to Grading > Grade Roster, then choose a term and a section.

The section picker shows, for each section, how many students are on the roster and how many still need a grade, so a finished term's rosters that still owe grades are easy to find. You see the sections you teach; registrars and administrators see the sections their access allows.

The screen has three view modes, selectable once a section is open:

ViewShows
GradesThe grade entry columns — this is where you enter marks
Class RosterThe enrolled students as a printable list, with no grade columns
GridA compact card grid, useful with photos turned on

"Class Roster" is a view of this screen, not a separate one.

Roster Information

In the Class Roster and Grid views, choose which columns appear: photo, student ID, email, major, credits, status, midterm and final grade, and enrollment date. A Normal / Condensed toggle sets how tightly rows are spaced.

In the Class Roster view, each row also has a notes icon (not printed) that opens that student's notes, where you can read the notes shared with you and add your own. See Student Notes.

Students are listed under their preferred name when they have one. The roster lists every student who holds a seat in the section; dropped and withdrawn students are not on it.

Export for seating chart

Export for seating chart downloads a ZIP file named for the course, section and date. It contains:

  • roster.csv — last name and first name (the name the student goes by: the preferred name when one is on file, otherwise the legal name), the preferred first name on its own, student ID, email, major and the photo's file name, one row per student. It opens directly in Excel.
  • A photos/ folder with one photo per student, named Last_First_StudentID.jpg.

Use it to lay out a seating chart in a tool of your choice. Only approved photos are included. A student who has opted out of directory disclosure (FERPA) stays on the roster but has no photo in the export, and a student with no photo on file simply has an empty photo column.

Handle the export as student records

The ZIP contains student names, IDs, emails and photos. Store it where your institution allows student records to be kept, and delete it when you no longer need it.

Anonymous grading sheet

Grading sheet opens a page listing the students by student ID only — no names, emails or photos — with blank columns for a score, a grade and comments. Students are numbered in student-ID order, never alphabetically, so the order does not reveal who is who. Click Print to print it for blind grading, then match the IDs back to the roster when you enter grades.

It is also reachable from the section's detail page. A student without a student ID cannot be identified on the sheet and is left off it.

Midterm Grades

When your institution has midterm grading turned on (the MIDTERM_GRADES_ENABLED setting), the Grades view has a Midterm / Final toggle.

  • In Midterm mode you enter, change or clear midterm grades. A note shows the term's midterm grading window; outside it the grade fields are locked, and the server refuses midterm grades before the window opens or after it closes.
  • Midterm grades are only for enrolled students. Every grade, midterm or final, must belong to the section's grading scale.
  • Midterm grades are informational: they do not change the student's GPA.
  • Students see their midterm grades on My Grades once the term's midterm window has closed (straight away if the term sets no closing date).

Colleague and the SIS. Midterm grades entered in Colleague are imported every night. A midterm grade you enter or clear on this roster belongs to the SIS from then on: the nightly import never overwrites it, even if Colleague still holds a different grade. Your advisor colleagues and your department see midterm grades of concern on the Midterm Grades report.

Roster Changes

The roster updates as students add, drop, or move from the waitlist. Waitlisted students are not on the roster. Contact the Registrar to manage section capacity.
